1. Information we collect
We collect the information you provide directly, such as your name, work email, organization name, and billing details when you create an account or subscribe to a plan. We also collect usage analytics — which features you use, session activity, and general engagement data — to operate, secure, and improve the Service. Payment card details are collected and processed directly by our payment processor, Stripe; ROAM does not store full card numbers on its own systems.
2. How we use information
We use collected information to: provide and maintain the Service; process subscriptions and billing through Stripe; authenticate accounts and prevent fraud or abuse; respond to support requests; send account, security, and billing communications; and understand usage patterns to improve the platform. We do not use your account or usage data to train models on your organization’s confidential information without your consent.
3. Email communications
We send transactional email (account confirmation, billing receipts, security alerts) as part of operating your account. Where we send product updates or newsletters, you can opt out at any time using the unsubscribe link included in those messages, without affecting transactional email related to your account.
4. What we do not do: no sale of personal data
ROAM does not sell your personal data to third parties, and we do not share your account or usage information with data brokers. We share information only with the service providers described below, as necessary to operate the Service, or as required by law.
5. Service providers
We use a limited set of third-party service providers to operate ROAM, including payment processing (Stripe), cloud hosting and database infrastructure, and application analytics. These providers are contractually bound to use your information only to provide services to us and are not permitted to use it for their own independent purposes.
6. Data retention
We retain account and billing information for as long as your account is active and as needed to comply with legal, tax, and accounting obligations after closure. Usage analytics are retained in a form that supports product improvement and are periodically aggregated or deleted in the ordinary course of data lifecycle management.
7. Data security
We use industry-standard technical and organizational measures — including encryption in transit, access controls, and monitoring — designed to protect account and usage data against unauthorized access, alteration, or disclosure. No system can be guaranteed fully secure, and we encourage you to use a strong, unique password and enable any available account security features.
8. Your rights (GDPR / CCPA)
Depending on your location, you may have rights to access, correct, delete, or export your personal data, and to object to or restrict certain processing. Residents of the European Economic Area, the UK, and Switzerland may have rights under the General Data Protection Regulation (GDPR); California residents may have rights under the California Consumer Privacy Act (CCPA) and its amendments, including the right to know what personal information is collected and the right to request deletion. We do not sell personal information as defined under CCPA. To exercise any of these rights, contact us using the details below; we will respond within the timeframe required by applicable law.
9. International transfers
ROAM is operated from the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States or other jurisdictions where our service providers operate, which may have data protection laws different from those in your jurisdiction.
10. Children’s privacy
The Service is intended for use by organizations and professional individuals and is not directed to children. We do not knowingly collect personal information from children under 16.
11. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated policy with a new “Last updated” date, and for material changes we will provide reasonable advance notice.
