This Privacy Policy describes how ROAM Intelligence LLC, a Delaware limited liability company (“ROAM,” “we,” “us”) collects, uses, and protects personal data in connection with ROAM Intelligence (the “Service”). It applies to authorized users of partner organizations who access the Service.
1. Data We Collect
- Account data. Name, work email address, organization affiliation, role, and authentication events (e.g., magic-link sign-ins) needed to provision and secure your access.
- Usage telemetry. Service interaction data such as pages and surfaces viewed, features used, API request metadata (endpoints, timestamps, response codes), device and browser information, and IP addresses, used for security, debugging, capacity planning, and product improvement.
- Queries and conversations with Ezekiel. Prompts, conversation history, and related context you submit to the Ezekiel analytical assistant are stored to provide conversation continuity and are scoped to your user and organization.
2. How We Use Data
We use the data described above to operate, secure, and improve the Service; to authenticate users and prevent abuse; to provide support; to meter and enforce API usage; to maintain audit logs required by our partner agreements; and to communicate service-related notices. We do not use partner queries or conversation content for advertising.
3. Subprocessors
We rely on a limited set of third-party subprocessors to deliver the Service. Categories currently in use include:
- Cloud hosting and infrastructure — application hosting, database, and storage providers;
- AI model providers — to process Ezekiel queries and generate analytical responses and summaries;
- Email delivery — to send sign-in links and service notifications.
Subprocessors are bound by contractual obligations of confidentiality and data protection. A current list of subprocessors is available on request.
4. Data Retention
We retain account data for the duration of your organization’s partnership and for a reasonable period thereafter as needed for legal, security, and audit purposes. Usage telemetry and audit logs are retained on rolling schedules appropriate to their purpose. Ezekiel conversation history is retained while your account is active and may be deleted on request, subject to audit-log obligations. Retention periods will be finalized during legal review.
5. Partner Data Isolation
The Service is multi-tenant by design. Partner data — including users, API keys, webhooks, conversations, and configuration — is scoped to your organization and segregated through organization-scoped access controls and row-level security. Personnel access to partner data is limited to what is necessary to operate and support the Service.
6. No Sale of Personal Data
We do not sell personal data, and we do not share personal data with third parties for cross-context behavioral advertising.
7. Security Measures
We employ administrative, technical, and organizational safeguards appropriate to the sensitivity of the Service, including encryption in transit, passwordless authentication with expiring links, organization-scoped API keys, signed webhooks, row-level security at the database layer, audit logging, and least-privilege access for personnel. No system can be guaranteed fully secure; we will notify affected partners of security incidents as required by law and our partner agreements.
8. Your Rights and Contact
Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data, or to object to or restrict certain processing. 9. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or by email. The “Last updated” date above reflects the most recent revision.
